Vehicle Charters – Terms and Conditions

Rates

• Settlement of account prior to delivery
• Rates are quoted in ZAR/South African rand
• Rates based on a daily mileage of 350km
• Rate is a per day rate and not a 24-hour rental period
• Discount rates will be given for a late arrival and early departure
• If payments are made from overseas, please include the transfer costs etc.

Use of Vehicle

• Vehicles are rented for use as per the original request
• Vehicles may not be used for motorsport or high-risk activities
• Vehicles may not be used in areas where there is a risk of civil unrest or political disturbance
• Proper precaution must be taken to ensure the safety and security of the vehicle

Driver’s License

• The minimum age for drivers is 23
• Drivers must be in possession of a valid unendorsed license
• If a vehicle is used for the conveyance of paying passengers, then the driver must have a valid PDP (Professional Drivers Permit)
• Tour operators must ensure that the driver-guides used by them are in possession of a valid PDP (Company can be held responsible for any claims as a result of this)
• If the vehicle can seat 12 passengers, or more the driver must have a valid PDP

Delivery and Collection

• Delivery and collection are free for rental periods longer than five days and within a 50km radius form our premises
• Delivery and collection cost as per our rate sheet
• One-way fees are applicable for areas outside of Cape Town and Pretoria

Fuel

• Renter/client will receive vehicle with a full tank of fuel
• Vehicle must be refueled on return
• Client is liable for the cost of refueling
• A penalty of R100 is payable should the vehicle be returned and not refueled

Rental Requirements

• Name, address, contact number and e-mail address
• Company details

Insurance

• Insurance is included in the daily rate
• The renter/client carries the risk of damage while the vehicle is in their possession
• The renter/client is responsible for the insurance in excess of R10 000 or the full amount if damage is less than the excess determined by our preferred service providers
• The renter/client is responsible for the insurance in excess of R15 000 in the event of any claim resulting from vehicle theft
• A claim handling fee of R450 will be charged to the renter/client
• All damages will be repaired by Rumadani or our insurance-approved service providers
• If our insurers reject a claim, the renter/client is responsible for any damages or claims

Windscreen / Glass

• Excess of R2 000 is payable for any windscreen or window damage

Exclusions on Insurance

• A result of driver negligence
• Driving under the influence of alcohol or illegal substances
• If traffic, road and driving regulations are not adhered to
• Where accidents are not reported according to the underneath procedures
• If the vehicle is taken beyond the RSA borders without a cross-border permit
• If the vehicle is driven on a road surface not suitable for the vehicle type
• Mechanical damage due to abuse or driver error
• Tyres, rims and hubcaps
• Water damage
• Under-carriage damage
• Lost, stolen or misplaced personal belongings

Procedures in the Event of an Accident

• Obtain the names, contact number and residential addresses of everyone involved and possible witnesses
• Report all incidents, big or small, to the police within 24 hours and supply Rumadani Transfers and Tours with an accident case number
• Notify Rumadani Transfers and Tours within 3 hours of the occurrence
• Complete the necessary insurance claim forms
• Co-operate with Rumadani Transfers and Tours and its insurers with any investigations

Passenger Liability Insurance

• Passenger liability insurance of R50 million included (R5 million for sedans)
• Passenger liability is only valid if the driver/guide is in possession of a valid PDP

Cross Border Rentals

• Vehicles need a cross-border permit to cross the border to neighbouring countries
• A detailed itinerary is needed to apply for the cross-border permit
• Cross-border permits are only valid for 14 days
• The cost for the cross-border permit is for the renter/client’s account

Additional Charges

• Valet charge – R750 (If vehicles are excessively dirty)
• Lost keys – the cost of keys plus R100 administration fee
• Claim administration fee – R450
• Fines and penalties are for the renter/client’s account
• Fine administration fee – R150
• Toll fees for renter/client’s account
